Follow-up weeks fail more often from calendar friction than from technical complexity. A single coordinator who understands the finding register can save several days.

One week before fieldwork

  • Confirm each open item still has a living owner (people move).
  • Book 45-minute walkthrough slots with buffers between them.
  • Stage sample packs in a shared folder labelled by finding ID.
  • Tell owners which period the sample covers.

During the week

Raise factual gaps the same day. Waiting until the draft to mention a missing approval trail forces rushed reconstructions that look worse than an honest open status.

After fieldwork

Keep the clearance window short — two to three business days for factual comments — so the committee pack stays on the original date.

Coordinator tip

Send owners the original finding wording, not only the tracker summary. Summaries drift; the original sentence is what we re-test against.
